Privacy Policy

TRAEXION (“we,” “us,” “our”) connects supply chain talent — including warehouse, dispatch, fleet, and operational candidates, as well as graduate and intern candidates — with employers in Kenya’s supply chain and logistics sector. This Privacy Policy explains how we collect, use, store, and share information when you use our platform.

From Candidates:

  • Personal details: full name, phone number, email address, location
  • Professional details: work experience, education history, role preferences
  • Identity and credential documents. Four core documents — National ID (front and back), passport photo, and your CV — are uploaded directly through our platform and stored securely by TRAEXION with restricted admin-only access. Additional certificates (academic, professional, driving license, etc.) may still be submitted as externally hosted links at your discretion, and those remain reference-only as before.
  • Professional body membership details (where applicable), including membership numbers and certifying bodies.

From Employers:

  • Company name, contact person, role, and contact details
  • Hiring requirements and feedback on placed candidates

We collect and use this information to:

  • Verify candidate identity, qualifications, and experience
  • Match candidates to relevant employer roles
  • Communicate with candidates and employers regarding applications and placements
  • Maintain verification records and assign verification levels
  • Generate invoices for successful placements
  • Core identity documents (National ID front and back, passport photo, and CV) are uploaded directly to our platform and stored securely in Firebase Storage with access restricted to authorized TRAEXION administrators. Any additional certificates or documents you submit as external links are stored as references only — we do not download, copy, or retain the underlying files. You remain the owner and controller of those externally hosted files and may revoke access at any time by changing your sharing settings.
  • Profile and verification data is stored securely in our database (Firebase/Firestore) and is accessible only to authorized TRAEXION administrators.
  • We retain candidate profile data for as long as is reasonably necessary to provide placement services, or until you request deletion.
  • We share verified candidate profile summaries (not raw documents) with employers actively seeking candidates matching your profile.
  • We do not sell candidate or employer data to third parties.
  • We do not share data for advertising purposes.
  • Verification by TRAEXION does not guarantee employment and does not constitute an endorsement of any employer or candidate.

You have the right to:

  • Request a copy of the information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your profile and associated data
  • Withdraw consent for future processing at any time (this does not affect processing already carried out under prior consent)
  • Revoke access to any Google Drive document you’ve linked, at any time

We apply reasonable technical and organizational measures to protect your information, including role-based access controls restricting verification and candidate data access to authorized administrators only.

We may update this policy from time to time. Material changes will be reflected on this page with an updated “Last updated” date.
